The Regulator’s guide

The Information Regulator has published a guide on how to use the Promotion of Access to Information Act. It is available from the Regulator at https://inforegulator.org.za. A copy can also be asked for from the Information Officer.

Records available

Records that can be asked for, subject to the Act, include:

  • Booking requests and the payment record linked to a booking.
  • Contact notes.
  • House Network applications.
  • Staff and house-door sign-in records.
  • Published and unpublished house listings held on the desk.

Records available without a formal request: the public pages of this site. Other records are not automatically available. [TO CONFIRM] whether any further class is voluntarily open.

How to request access, and the fees

Write to the Information Officer at bookings@capeculturaltours.co.za. Use the request form prescribed by the regulations. Say which record you want, and in what form. The house will reply within the time the Act allows.

The request fee and the access fee are the fees set in the PAIA regulations. The rand amounts are [TO CONFIRM] against the regulations in force on the day of the request. A requester who cannot afford the fee may ask for a waiver, as the Act allows.

Processing of personal information

Purpose: to hold a booking, to answer a note, to consider a House Network application, to let an authorised person into the staff desk or a house door, and to keep the records the tax law requires.

Categories of data subjects: guests who request a booking, people who write through the contact page, House Network applicants, and staff or house keys who sign in.

Categories of information: name, email, telephone, booking date, party size, the text of a note or application, and the sign-in email returned by Google or X for staff and house keys.

Recipients: the host of the site (Vercel), the site builder’s script (grok.com), Gmail for house notices, Google and X for staff and house-key sign-in, Google Fonts, YouTube when a clip is played, MyMemory and Google Translate when the translator is used, the Norwegian Meteorological Institute and OpenStreetMap for weather and maps, adsb.lol and adsb.fi for flight positions, PayFast once card payment opens, and Discover Cars only when a guest leaves for a car booking.

Cross-border flows: some of those recipients keep servers outside South Africa. A transfer is made under section 72 of the Protection of Personal Information Act. The countries are [TO CONFIRM] for each recipient.

Security: the site is served over HTTPS. Card numbers are not taken on this site. Staff access is checked on the server. A full description of the safeguards is [TO CONFIRM].
